How to Export Review Data

You can export all your review data to a CSV file for analysis, reporting, or record-keeping. Here's how to download your reviews.

How to Export Reviews

Step 1: Select the business whose reviews you want to export from the dropdown menu in the sidebar.

Step 2: Click on 'Reviews' in the sidebar to go to your Reviews page.

Step 3: Look for the 'Export CSV' button near the top right of the page, typically next to the filter options.

Step 4: Click the 'Export CSV' button. Your browser will automatically download a CSV file containing all your review data.

The file will be named something like reviews-export-business-name-date.csv and will appear in your browser's download folder.

What's Included in the Export

The CSV file includes all review data in columns:

Date and Time: When the review was submitted, in a standard date format.

Rating: The star rating given by the customer, shown as a number from 1 to 5.

Review Text: The written feedback provided by the customer.

Type: Whether this was Positive, sent to Google, or Needs Attention, kept private.

Custom Fields: If you've added custom form fields, each field gets its own column with the customer's response.

Customer Information: Any identifying information provided through custom fields like name, email, or phone number.

Opening the CSV File

CSV files can be opened with several programs:

Microsoft Excel: Double-click the file and it should open in Excel automatically. If not, open Excel, go to File, Open, and select your CSV file.

Google Sheets: Go to sheets.google.com, click File, Import, Upload, and select your CSV file. Google Sheets will convert it to a spreadsheet format.

Apple Numbers: Open Numbers, go to File, Open, and select your CSV file.

Text Editor: You can also open CSV files in Notepad or TextEdit, but this shows raw comma-separated data which is harder to read.

Using Exported Data

Once you have your data in a spreadsheet, you can:

Create Reports: Generate monthly or quarterly review reports for management or stakeholders.

Analyze Trends: Sort by date to see how your ratings have changed over time. Calculate average ratings by month.

Find Patterns: Filter and search to identify common themes in feedback. For example, search for keywords like 'slow' or 'friendly' to see what customers mention most.

Track Staff Performance: If you collect staff names via custom fields, you can see which team members get the best reviews.

Create Charts: Use Excel or Google Sheets to create visual charts showing your review distribution, average rating over time, or positive versus negative feedback ratios.

Build Email Lists: If you collected email addresses, you can export them for marketing purposes, provided you have permission to contact customers.

Keep Records: Archive your review data regularly as a backup or for compliance purposes.

Filtering Before Export

Before clicking Export CSV, you can use the filter options on the Reviews page to export only specific reviews:

To export only 5-star reviews: Set the rating filter to '5 stars' before exporting.

To export only negative feedback: Set the type filter to 'Needs Attention' before exporting.

To export reviews containing specific keywords: Use the search box, then export.

The export will only include reviews that match your current filters and search criteria.

Export Best Practices

Export regularly: Download your reviews monthly or quarterly as a backup. If you ever need historical data, you'll have it.

Name files clearly: Rename your exports to include the business name and date, like 'Joes-Coffee-Reviews-Jan-2026.csv'.

Store securely: Review data may contain customer information. Store exported files in a secure location and don't share them publicly.

Respect privacy: If your export contains customer email addresses or phone numbers, use that data responsibly and in accordance with privacy laws.

Use for improvement: Don't just export and forget. Actually analyze the data to identify areas where you can improve your business.

Exporting from Multiple Businesses

If you manage multiple businesses, you need to export each one separately. Switch to each business using the dropdown menu, go to its Reviews page, and click Export CSV. Each business generates its own separate file. You can then combine them in Excel or Google Sheets if you want a master report across all locations.
