How to View and Manage Your Reviews
All the reviews you collect through RatingFlow appear in your Reviews dashboard. Here's how to view, filter, and manage them.
Accessing Your Reviews
Step 1: Select the business you want to view reviews for from the dropdown menu in the sidebar.
Step 2: Click on 'Reviews' in the sidebar menu. You'll be taken to the Reviews page.
Step 3: At the top of the page, you'll see four summary cards showing Total Reviews, Positive reviews, Needs Attention reviews, and reviews Sent to Google.
Understanding Review Categories
RatingFlow categorizes reviews based on how they were handled:
Positive: Reviews that met or exceeded your rating threshold. These customers were redirected to Google to leave a public review. The count shows in green.
Needs Attention: Reviews below your rating threshold. These are private feedback submissions that stayed in RatingFlow and never went to Google. The count shows in orange. These require your attention to address customer concerns.
Sent to Google: The number of customers who were successfully redirected to your Google Business Profile. This number may be lower than Positive reviews because not everyone completes the review on Google after being redirected.
Filtering Reviews
Below the summary cards, you'll find filtering options:
Search Bar: Type keywords to search through review text, customer names, or custom field responses. This helps you quickly find specific reviews or feedback about particular topics.
All Ratings Dropdown: Filter by specific star ratings. You can choose to see only 5-star reviews, only 1-star reviews, or any combination. Select 'All Ratings' to see everything.
All Types Dropdown: Filter by review type. Choose 'Positive' to see only high ratings that went to Google, 'Needs Attention' to see only low ratings that stayed private, or 'All Types' to see everything.
Review List Details
Each review in the list shows:
Star Rating: Displayed as filled stars, making it easy to see at a glance how the customer rated you.
Review Text: The written feedback the customer provided in the text field.
Custom Fields: If you've added custom form fields, the customer's responses appear here as well.
Date and Time: When the review was submitted, shown in a readable format like '2 days ago' or 'Jan 15, 2026'.
Type Badge: A colored badge showing whether this was a Positive review sent to Google or Needs Attention private feedback.
When No Reviews Exist
If you haven't collected any reviews yet, you'll see a message saying 'No reviews yet' with a prompt to share your review link or get your QR code. There's usually a 'Get QR Code' button that takes you directly to the QR Code page where you can download and start distributing your code.
Responding to Reviews
For Needs Attention reviews, it's important to follow up:
Take note of the feedback and identify what went wrong.
If the customer provided contact information in custom fields, reach out to them directly to address their concerns.
Use this feedback to improve your service or product.
After resolving the issue, you might ask the customer if they'd be willing to update their review or leave a new one on Google.
Remember: These negative reviews never reached Google, giving you a chance to fix problems privately before they hurt your public reputation.
Exporting Reviews
You can export all your reviews to a CSV file for further analysis or record-keeping. Look for an 'Export CSV' button near the top of the Reviews page. Click it to download a spreadsheet containing all your review data including ratings, text, custom fields, dates, and types. This is useful for creating reports, analyzing trends, or keeping backups of your feedback.
Review Best Practices
Check daily: Make it a habit to review new feedback each day, especially Needs Attention reviews that require action.
Act quickly on negative feedback: The sooner you address concerns, the more likely you can turn an unhappy customer into a satisfied one.
Look for patterns: If multiple reviews mention the same issue, it's a clear sign something needs to change.
Celebrate positive reviews: Share great reviews with your team to boost morale and identify what you're doing right.
Track improvement: Periodically compare your average rating and review sentiment over time to measure progress.
